Background: Flexible Schedules and the Flexible Work Program are opportunities to maintain team member productivity through various forms of creative work scheduling. Policy: RubinBrown fosters a work environment that provides day-to-day flexibility in team member schedules, including work hours and work location. This day-to-day flexibility allows team members to address professional and personal needs. All team members are able to remotely access firm technology to complete work assignments. This degree of day-to-day flexibility with work hours and work location is based on a team member's current assignments and workload. RubinBrown also offers the Flexible Work Program (FWP), which allows creative work scheduling arrangements for team members in need of a consistent flexible schedule throughout the year (e.g. work three days a week). Procedure: All team members are able to participate in day-to-day flexibility by communicating with their engagement team, supervisor or Career Advocate(s). Team members utilizing flexibility in their day-to-day schedule, including working from home or remotely, must communicate their whereabouts to their engagement team, supervisor, scheduling coordinator & Career Advocate(s). Team members working from home or working remotely during normal business hours are expected to be accessible and productive. Team members are encouraged to maintain a professional work setting which is free of distractions and appropriately confidential. There should be a distinct separation between work activities and personal activities. For example, hybrid or remote work is not a substitute for childcare or adult care. Team members interested in the formal flexibility program must complete a “Flexible Work Program" Request Form, which can be obtained from the Human Resources Department. Requests for the Flexible Work Program will be reviewed on a case-by-case basis. The request must provide guidance on how the arrangement will accomplish both work and personal goals. Providing coverage for individual and departmental operations as well as serving the best interests of the Firm as always, are priority. Flexible Work Program schedules may include compressed workweeks, summers off, an increase in seasonal hours, etc. The ideal flexible work program candidate works full-time hours during the busiest time for the department and part-time hours during slow work periods. Requests should be reviewed and approved by the team member’s Service Unit Leader, Department Leader & Career Advocate(s) prior to submitting the request to the Human Resources Department. The Human Resources Department will coordinate with the Talent & Compensation Committee, Chairman or Firm Managing Partner for final approval. While all team members are eligible to apply for the Flexible Work Program, approval is not guaranteed. The Firm reserves the right to change any flexible work arrangement when necessary to meet the needs of the business.
