Background: In an effort to maintain the safety and security of our team members, the Firm has developed the following policies regarding building security. Policy: It is RubinBrown’s policy that all team members assigned to a physical office will be issued a badge, access card or fob (depending on building standard). The exception is 100% Remote team members (see Policy # "Hybrid Work Environment and 100% Remote"). Each team member with building parking garage access will be issued a transponder/fob/badge. It is also policy that all visitors be accompanied by a RubinBrown team member at all times while visiting our offices. All visitors must sign in with the Receptionist. To help foster a safe environment for RubinBrown team members, it is our policy that all persons entering RubinBrown are prohibited from carrying firearms or prohibited weapons of any kind on firm property. This applies to all team members, vendors, contractors and visitors on our property or attending official RubinBrown functions. Procedure: RubinBrown team members will use their assigned badge, card or fob to access the space and/or secured parking garages, where applicable, and should not share them with others or leave unattended. If the badge, card or fob is stolen, the local administrative manager should be notified immediately. The team member will be charged for a replacement badge, card or fob through payroll deduction. All bomb threats/extortion directed toward RubinBrown team members, building, facility or events, whether received in the mail or by phone will be immediately reported to the Police Department by dialing 911. The responsibility for investigating bomb threats rests with the Police Department. The Police Department will notify the Fire Department. If the Police Department deems it necessary, evacuation will be conducted in accordance with the facility Emergency Evacuation Plan. In the event that a hazardous material is detected at a RubinBrown facility or event, please notify the Human Resource Department as well as report the incident immediately to the Police Department by dialing 911. If the Police Department deems it necessary, evacuation will be conducted in accordance with the facility Emergency Evacuation Plan. If you are trapped in an elevator, push the call button and activate the speakerphone. Building security will assess the situation and determine the location of the elevator to properly correct the situation. Emergency Management contact information, resources and maps are provided on the home page of each office on the Intranet. Team members are encouraged to save relevant building security/emergency contact information to their cell phones in case of after-hours emergency.
